As the  Manager, Visual Merchandising Operations will lead the operational execution of Hourglass’s rapidly growing secondary fixture and international merchandising business across North America, Australia, and Asia. This newly created role will serve as the central point of coordination for pop-ups, temporary fixtures, airport locations, seasonal activations, and other retail merchandising initiatives, ensuring projects are delivered on time, on brand, and with exceptional attention to detail.
This position is ideal for a professional who is highly organized, detail-oriented project manager who thrives in a fast-paced environment and enjoys building structure, process, and accountability across complex projects. The Manager will partner closely with Visual Merchandising, Creative, Marketing, Finance, Operations, regional teams, and external vendors to drive flawless retail execution and support Hourglass’s continued global growth.

Key Responsibilities

Project Management & Execution
•    Own the execution of all secondary fixture and international visual merchandising projects from concept through installation.
•    Manage multiple concurrent projects across North America, Australia, and Asia, ensuring deliverables remain on track and aligned with business priorities.
•    Develop and maintain annual project calendars, milestone schedules, approval timelines, launch plans, and project tracking tools.
•    Identify risks, resolve obstacles, and proactively address execution challenges before they impact project timelines.
•    Create scalable processes and workflows that improve visibility, organization, and operational efficiency.
•    Lead project meetings and provide regular updates to stakeholders and leadership.
Secondary Fixtures, Pop-Ups & Retail Activations
•    Manage the execution of secondary fixtures, pop-ups, shop-in-shops, airport locations, temporary displays, and seasonal retail activations.
•    Coordinate all project components, including fixtures, graphics, production materials, logistics, and installation requirements.
•    Support approximately 100+ secondary fixture initiatives annually across global markets.
•    Ensure all details are accounted for and delivered accurately to support successful launches.

Vendor Management
•    Serve as the primary point of contact for external vendors, fabricators, suppliers, and installation partners.
•    Participate in vendor bidding and negotiation processes.
•    Manage production schedules, timelines, and deliverables to ensure projects are executed on time and to brand standards.
•    Monitor vendor performance and maintain strong business relationships.
Seasonal Visual Merchandising Programs
•    Support execution of seasonal merchandising updates across global retail environments.
•    Coordinate timelines, approvals, production needs, and launch schedules.
•    Ensure consistency and excellence across all markets and retail partners.
Cross-Functional Collaboration
•    Partner closely with Visual Merchandising, Creative, Marketing, Packaging,

Finance, Operations, and regional teams.
•    Facilitate communication across stakeholders to ensure alignment on priorities, timelines, and deliverables.
•    Build strong relationships across teams while effectively influencing without direct authority.
•    Provide recommendations on project prioritization, workload management, and resource planning.

Budget & Business Management
•    Maintain visibility into project spend and budget utilization.
•    Support vendor bidding and cost management initiatives.
•    Track financial impact of projects and provide budget-related inputs as needed.
•    Partner with budget owners while ensuring projects remain aligned to spending objectives.

Qualifications Required

•    4-6 years of experience in Visual Merchandising Operations, Visual Merchandising, Retail Operations, Store Development, or a related field.
•    Beauty industry experience required; luxury or prestige beauty experience strongly preferred.
•    Experience managing visual merchandising programs, fixtures, displays, pop-ups, retail activations, or store environments.
•    Proven project management experience overseeing multiple concurrent initiatives with competing deadlines.
•    Experience partnering with cross-functional teams including Creative, Marketing, Finance, Operations, and external vendors.
•    Strong proficiency in Microsoft Excel and project management platforms such as Asana.
•    Exceptional organizational, communication, and problem-solving skills.
•    Strong attention to detail and ability to manage complex projects from planning through execution.
Preferred
•    Experience supporting international retail markets.
•    Familiarity with Sephora, Ulta, Travel Retail, department stores, or specialty beauty retailers.
•    Experience with fixture fabrication, installations, and vendor management.
•    Exposure to vendor sourcing, bidding, and production processes.
